Terms & Conditions

These Terms & Conditions outline how VibeTribe memberships work, including our seasonal structure, payment policies, and safety expectations. Please read them carefully before joining.

1. Seasonal Membership Structure

VibeTribe operates in 12-week training seasons.
Each season is a fixed commitment to support routine, accountability, and results.

By signing up, you agree that:

  • Memberships run for the full 12 weeks
  • Payments operate on a weekly direct debit
  • Session caps are strict to maintain coaching quality
  • Your spot is reserved for the entire season

2. Membership Commitment

By joining a season, you agree to:

  • Commit for the full 12 weeks
  • Maintain your chosen weekly training plan
  • Submit payment details before the season begins

No early cancellations, except in serious circumstances such as:

  • Medical injury preventing participation
  • Relocation outside the area
  • Significant personal hardship

These cases require written notice and may be approved at VibeTribe’s discretion.

3. Pausing & Missed Sessions

  • Memberships cannot be paused during a season.
  • Missed sessions cannot be rolled over, refunded, or credited.
  • Members are encouraged to attend consistently for best results.

This policy ensures fairness and protects session caps for all participants.

4. Upgrades & Downgrades

  • Upgrades (e.g., moving from 1 session/week to 2) may be allowed mid-season if space is available.
  • Downgrades may only occur between seasons.

5. Payments & Billing

By joining, you agree to:

  • Weekly direct debit via the payment method provided
  • Ensure your payment details remain valid and up to date
  • Cover any failed payment fees charged by the payment provider

Late or failed payments may result in suspension of access until resolved.

6. Refunds

VibeTribe operates on reserved spots for each season.

Therefore:

  • No refunds for change of mind,
  • No refunds for non-attendance,
  • No refunds for weather changes unless the session is fully cancelled by the coach.

Refunds may be granted only in exceptional cases at VibeTribe’s discretion.

7. Outdoor Training & Weather Policy

We train outdoors year-round. You agree and understand that:

  • Light rain = we train
  • Unsafe conditions (storms, lightning, extreme weather) = session rescheduled or relocated
  • By training outdoors, you accept natural environmental factors (heat, cold, uneven ground, etc.)

Safety comes first — the coach may modify or relocate sessions as needed.

8. Health & Safety

By joining VibeTribe, you confirm that:

  • You are physically capable of participating in group fitness
  • You will disclose any injuries or medical conditions
  • You will follow coach instructions for safety
  • You train at your own risk

VibeTribe is not liable for injuries resulting from misuse of equipment, ignoring instructions, or pre-existing conditions.

9. Photography & Content Use

We occasionally take photos/videos during sessions to celebrate progress and community moments.

By joining, you grant VibeTribe permission to use imagery that may include you for:

  • Social media
  • Marketing materials
  • Website content

If you prefer NOT to appear in any content, simply notify us and we will ensure you are excluded.

10. Communication

You may receive occasional updates related to:

  • Session reminders
  • Weather notifications
  • Member updates
  • Events and challenges
  • Program changes or season announcements

You can opt out of non-essential updates at any time.

11. Personal Information

Your information is kept private and is used only for:

  • Membership management
  • Safety requirements
  • Communication
  • Billing

We do not share or sell your data.

12. Agreement

By enrolling, paying, or attending a session, you acknowledge that you have:

  • Read these Terms & Conditions
  • Understood and agreed to the policies
  • Accepted the 12-week commitment structure
